1. Who We Are

Truck Peak Dispatch LLC ("Truck Peak," "we," "us") is an independent truck dispatch service based in Wyoming, USA, serving U.S. owner-operators and small carriers. This policy explains what information we collect, how we use it, and your choices.

2. Information We Collect

• Information you provide directly: name, company name, email address, phone number, MC/DOT number (if available), equipment/truck type, fleet size, preferred lanes, and any other details you submit through our contact/onboarding form or in direct communication with us (phone, SMS, email).
• AI chat assistant: chat messages and details you share with the Truck Peak AI Assistant on our website are stored in our CRM and used to respond to your inquiry.
• Information collected automatically: when you visit our website, we may collect standard technical data (IP address, browser type, pages visited, referring site) through analytics tools such as Google Analytics, and, if enabled, advertising/tracking pixels such as the Meta (Facebook) Pixel.

3. How We Use Your Information

We use the information we collect to:

• Respond to your inquiry and evaluate your carrier profile
• Provide dispatch services if you become a client (load search, rate negotiation, broker communication, paperwork/invoicing)
• Maintain records of our communications in our CRM (HubSpot)
• Send you service-related updates, and, where you have consented, marketing communications
• Improve our website and services

4. SMS Communications and Consent

Truck Peak Dispatch LLC may send SMS communications to carriers and owner-operators who contact us or use our services, including service-related messages such as onboarding, dispatch coordination, load opportunities, appointment changes, and customer support. Promotional or marketing messages are sent only where the recipient has provided separate, express SMS marketing consent.

Providing a phone number or submitting an inquiry does not by itself enroll you in promotional SMS. Marketing consent is optional and is not a condition of purchasing services. Consent is collected through an unchecked checkbox that identifies Truck Peak Dispatch LLC and explains the program. We retain the phone number, consent timestamp, consent source, and disclosure version with the carrier inquiry.

Message frequency varies. Message and data rates may apply. Reply STOP to opt out of promotional SMS or HELP for assistance. You may withdraw consent at any time by replying STOP or emailing dispatch@truckpeakdispatch.com. Service-related communications may still be sent when necessary to provide requested services, subject to applicable law.

5. How We Share Information

We do not sell your personal information. We may share it with:

• Service providers who help us operate our business (e.g., HubSpot as our CRM, our web hosting provider), who are only permitted to use it to provide services to us
• Freight brokers, factoring companies, or other parties directly involved in a load you have asked us to book on your behalf
• Government or regulatory authorities where required by law

6. Mobile Information and Data Sharing

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with service providers supporting our messaging operations, including Telnyx, is permitted only as necessary to provide those services. Text messaging originator opt-in data and consent will not be shared with third parties for their own marketing or promotional purposes.

7. YouTube Connection in the Truck Peak Portal

If the portal owner chooses to connect a YouTube channel, Google asks them to authorize access to their account email, channel identity, YouTube upload permission, and read-only YouTube channel access. The portal uses this access to identify the connected channel, upload owner-approved or scheduled videos and their thumbnails, and show upload status. It does not read or sell YouTube viewer data.

The portal stores the connected account email, channel ID and name, and an encrypted Google authorization token so the owner can make or schedule uploads. Only authorized portal owners can manage the connection. Videos, thumbnails, captions, and posting records in the portal remain separate from the Google authorization token. When an upload is made, the video, its title, description, and thumbnail are sent to YouTube. YouTube processes that data under Google's Privacy Policy.

The owner can disconnect YouTube in the portal's YouTube connection section. Disconnecting removes the stored Google authorization token and attempts to revoke its Google grant. The owner can also revoke Truck Peak Portal access at Google Account connections. To ask us to delete portal records or media associated with this integration, email dispatch@truckpeakdispatch.com. Disconnecting does not delete videos already uploaded to YouTube; the channel owner manages those in YouTube Studio.

8. Data Collection and Retention

We collect phone numbers, carrier contact details, SMS consent records, and communication history to provide dispatch and support services. Consent records include the phone number, timestamp, consent source, and disclosure version. We retain this information for as long as reasonably necessary to provide services, maintain business records, enforce opt-out preferences, resolve disputes, and comply with legal obligations. Messaging service providers such as Telnyx may process phone numbers, message content, delivery events, and opt-out requests on our behalf.

We use reasonable administrative and technical safeguards appropriate to the information we hold. We do not claim that any transmission or storage method is completely secure. You may request access, correction, or deletion by emailing dispatch@truckpeakdispatch.com; requests remain subject to applicable legal and operational retention obligations.

9. Your Rights

You may ask us to access, correct, or delete the personal information we hold about you by emailing dispatch@truckpeakdispatch.com. We will respond within a reasonable time.

10. Children's Privacy

Our services are directed at businesses and individuals operating commercial trucking authority; they are not directed at children, and we do not knowingly collect information from anyone under 18.

11. Changes to This Policy

We may update this policy from time to time. The "Last updated" date above reflects the most recent revision.
